Managing Events

A guide to creating, managing, and promoting events from the admin portal.

Creating an Event

Navigate to Events > Manage Events and click Create Event. Events start in draft status so you can work on them before publishing.

Basic Information

  • Name — the event title
  • Description — a rich content editor supporting text, headings, lists, images, tables, PDF attachments, links, and presenter cards
  • Featured image — upload a photo, pick a gradient, generate one with AI, or search Unsplash
  • Start and end date/time — when the event takes place

Event Type

Choose between In-Person or Virtual:

In-person events: - Enter the venue name and full address - The address is automatically geocoded to display on a map on the event page

Virtual events: - Zoom — create a new Zoom meeting or link to an existing meeting/webinar (see Integrations) - Other — paste any meeting URL for platforms like Google Meet, Microsoft Teams, or others

Access and Pricing

  • Visibility — set to public (anyone can register) or members only (requires active membership)
  • Price — set to 0 for free events, or enter a ticket price for paid events
  • Member price — optionally set a discounted price for members. Active members automatically receive the lower price at checkout.
  • Capacity — set a maximum number of attendees. Registration is disabled when the event is full. Leave blank for unlimited.

Presenters

Add speakers or presenters directly in the event description using the presenter card block. Each presenter can have:

  • Photo
  • Name
  • Biography

Presenter cards are displayed in an elegant card layout within the event content.

Publishing

Events have three statuses:

  • Draft — not visible to the public. Use this while preparing the event. Changes are saved as drafts with live preview.
  • Published — visible on the event listing and detail pages. Users can register.
  • Cancelled — marked as cancelled and hidden from normal browsing.

Managing Registrations

Each event has a registrations view in the admin portal showing all attendees.

Registration Details

Each registration records:

  • Name, email, organization, and job title
  • Payment status (paid/unpaid)
  • Attendance (can be marked after the event)
  • Registration date
  • Whether the registrant is a member

Adding Registrations

There are several ways to add registrations:

  • Self-service — users register themselves from the event page (with Stripe payment for paid events)
  • Manual — admins can create registrations directly from the admin portal
  • Import — import registrations via CSV. Export existing registrations first to see the required format. You can also import by pasting a URL containing attendee information.

Exporting Registrations

Export the full registration list as a CSV file for use in check-in lists, name badges, external reporting, or other tools.

Importing Events

Spreadsheet Import

Import events via CSV or Excel with all event fields. Export your existing events first to see the required format.

URL Import

Paste a link to an event on another website and Orbit will extract the event details — title, description, dates, location, and type — and create a draft event from it.

Zoom Import

If your Zoom account is connected, import upcoming Zoom meetings and webinars directly. Orbit fetches your scheduled Zoom events and lets you preview and import them with the Zoom meeting IDs automatically linked. See Integrations for Zoom setup.

Analytics

The admin portal provides built-in analytics for each event:

  • Registration timeline — chart showing registrations over time with cumulative totals
  • Page views — visitor data including traffic sources and geographic information
  • Dashboard summary — the admin dashboard shows upcoming events, total published events, and recent registration counts

Sharing, Promotion, and Emails

Coming Soon

The following event management features are planned:

  • Registration deadline — set a cutoff date after which registration closes automatically
  • Waitlist — allow sign-ups after capacity is reached and notify waitlisted users when spots open up
  • Refunds — process refunds for cancelled registrations directly from the admin portal
  • Attendance analytics — registration vs. attendance rates and post-event reporting
  • Revenue reporting — track revenue collected per event
  • Attendee surveys — collect feedback from attendees after the event
