Sending and Delivery

Orbit handles email delivery with built-in scheduling, campaign management, delivery tracking, and safeguards to protect your sender reputation.

Sending Modes

Send Immediately

For individual emails or when you're ready to go, send right away. Individual emails are delivered instantly. Bulk emails to multiple recipients are queued and sent in batches (see Bulk Delivery below).

Schedule for Later

Set a specific date and time for your email to be sent. Scheduled emails appear with a "Scheduled" status and are automatically sent when the time arrives.

If you need to make changes before the scheduled time, you can cancel the schedule to return the email to draft status, make your edits, and reschedule.

Campaign Management

For bulk emails sent to multiple recipients, you have full control over the sending process:

  • Pause — temporarily stop a campaign that's in progress. No further emails are sent until you resume.
  • Resume — restart a paused campaign from where it left off.
  • Cancel — permanently stop a campaign. Any emails that haven't been sent yet are skipped. Emails already delivered are not affected.

This is useful if you spot an issue after sending has started — you can pause or cancel immediately to limit the impact.

Live Progress

While a campaign is sending, the email detail page shows live progress including:

  • Total recipients and how many have been processed
  • Delivery progress percentage
  • Counts for sent, delivered, opened, clicked, bounced, and failed
  • Delivery rate, open rate, and click rate

Progress updates automatically so you can monitor the campaign in real time.

Bulk Delivery

When sending to multiple recipients, Orbit processes emails in batches to ensure reliable delivery:

  • Emails are sent in controlled batches (configurable per-minute limit)
  • A daily send limit controls total volume per day
  • Each batch respects the configured rate limits
  • Delivery continues across multiple processing cycles until all recipients are reached

Verification Requirement

Bulk email sending is only available after your account's email address has been verified. New accounts start in a pending state — once an admin verifies their email address, bulk sending is automatically activated.

Rate Limits

Admins can configure sending limits from Mail > Sending Settings:

  • Daily send limit — maximum emails per day (default: 200)
  • Per-minute send limit — batch size per processing cycle (default: 50)

These limits help maintain good deliverability and can be adjusted as your sending volume grows. The settings page shows today's sent count against the daily limit.

Delivery Tracking

Every email is tracked through its full lifecycle:

Status Meaning
Sent Email accepted by the mail server
Delivered Confirmed delivered to the recipient's inbox
Opened Recipient opened the email
Clicked Recipient clicked a link in the email
Bounced Email could not be delivered (invalid address, full mailbox, etc.)
Complained Recipient marked the email as spam
Failed Email could not be sent (technical error)
Skipped Recipient was suppressed or the campaign was cancelled

Open and click counts are tracked per recipient, so you can see engagement at both the campaign and individual level.

Reputation Protection

Orbit includes safeguards to protect your sender reputation and ensure high deliverability:

Suppression List

Email addresses that have hard bounced, filed spam complaints, or unsubscribed are automatically added to a suppression list. These addresses are filtered out of future sends at both queue time and delivery time, preventing repeated sends to problematic addresses.

Spam Complaint Monitoring

Orbit tracks your 30-day spam complaint rate. If the complaint rate exceeds acceptable thresholds, Orbit will work with you to address the issue. In some cases, bulk sending may be temporarily restricted to protect your deliverability. The current complaint rate is visible on the admin dashboard.

Bounce Handling

Hard bounces automatically suppress the affected email address from future sends. Bounce rates are tracked and visible in your sending metrics.

Subscription Management

Every email includes an unsubscribe link in the footer, ensuring compliance with email regulations.

Unsubscribe Options

Recipients can manage their email preferences at two levels:

  • Marketing emails — newsletters, announcements, and promotional content. Recipients can opt out while still receiving account notifications.
  • Account notifications — membership reminders, event confirmations, and other operational emails. Can be independently toggled.
  • Essential emails — password resets, payment receipts, and other transactional emails are always delivered and cannot be opted out of.

When a recipient unsubscribes, their preference is immediately updated and they are excluded from future sends in that category.

One-Click Unsubscribe

Emails include the standard List-Unsubscribe header, enabling one-click unsubscribe directly from supported email clients (Gmail, Apple Mail, Outlook, etc.) without visiting a web page.

  • Mailing lists — support for multiple, named mailing lists with the ability to import existing subscriber lists, sign-up widgets for your website or portal, and granular user control over which lists they're subscribed to
